CHQ provides a facility to record the daily to and/or from school transport arrangements for each student.
Please note that this is distinct from "transport bookings" which relate to specific events and are covered in a separate guide.

In order to be able to record the bus/transport allocation for students, you must complete some configuration inside your CHQ site first, to define which transport methods you want to track, and when they run.

The configuration process is straightforward:

  • Create the transport methods you would like to track. A "transport method" is what you decide it should be, so you could use "car" / "bus" / "bicycle" or you could go into more detail and use "bus A", "bus B", "bus C" and so on. Some schools simply define as transport methods the exits/collection points that the student should go to, whereas others add the bus routes in as separate methods - the choice is yours.

  • Schedule the various transport methods to run on the days and times that they are available for. If you are not interested in how people get to school, then there is no requirement to schedule transport methods in the morning. If a method is available on every day of the week, schedule it first on the Monday (or whatever you've set as the first day of the week on your school configuration page), then use the admin tool on that day's schedule to copy it to the other days of the week.
    When you create a schedule, you have the option of limiting when it applies to, either to start in the future, or to end at some point. If you leave the "start academic year / term" blank then there is no limit on when the schedule starts, and if you leave the "end academic year / term" empty then there is no end date for the schedule.

  • Review the weekly schedule to make sure that you have the various methods set to run at the required times on each day of the week.

Once your overall transport schedule is defined, you can allocate children to a transport schedule on each day of the week for a given term. This can be done by parents if you like, as long as the term in question does not have the "transport choice disabled" box ticked. They update the transport for their child on the "my profile" page, using the "transport" panel. You could also do this as an administrator by visiting the person details page for the student in question.

There is the option to import bus allocation from a spreadsheet - you'll need to supply a spreadsheet containing a student identifier (ie email address, first/last name and date of birth, etc), the name of the transport method and the time of day. The transport methods and schedules must exist in CHQ before the import can be performed, and we can import the same information onto all days of the week if you like, or you could supply your data with a row per student per day if you prefer. Please create a support ticket and attach your spreadsheet when you are ready to import the data.

Finally, it is possible to add the bus allocation to the overnight interface with your MIS, if you have that information stored. Please contact us for more details if you would like to investigate this option.

Daily Registers

You can specify during the transport method set-up whether you would like to be able to produce a register for that method. If you have ticked this option then the report available from System Admin > Transport > Print Registers allows you to view and/or print a register for each scheduled method (ie each bus) on a given date. The register takes into account known absences on the specific date (as communicated to CHQ from your MIS via the morning and afternoon interface runs) and also gives an indication if a student has an event (activity, fixture, etc.) after the scheduled time for the bus.

You cannot as yet record bus attendance inside CHQ, but if this would be of interest to you, please do not hesitate to raise a feature request ticket to let us know how you would like it to work!

One of the major head-aches for a school deploying a new process or system is making sure that parents are aware of what they are expected to do and when.
CHQ does not handle this for you, because we believe that the relationship exists between school and parents, and having a third party in the relationship would not be beneficial to anybody.
We therefore recommend that school produce their own user guide for parents to help them get to grips with the parts of the system they're being asked to use - typically activities sign-up.

This post links to several PDF documents produced by CHQ customers for their parents that they've been kind enough to allow us to share.

You may also consider putting an instructional video together and placing it on your school web site. Here's some examples of what other schools have done:
